Best AI meeting assistants for sales teams (2026)

What each tool puts in your CRM, whether a bot joins the call, and what it costs.

Addys.ai Addys

The short answer

The best AI meeting assistant for a sales team depends on what has to happen after the call. If managers need a record of every conversation, buy a call recorder such as Gong, Fathom or Fireflies. If reps keep losing deals to follow-up that never went out, buy something that does the follow-up.

  • Gong: the pick for revenue orgs that want coaching, deal reviews and forecasting, run by RevOps. Priced by quote.
  • Fathom: a free plan with unlimited recordings. Its Business plan writes meeting insights into specific CRM fields.
  • Fireflies: a low per-seat price, wide meeting-platform coverage and a desktop app that records without a bot. On Business, Autofill CRM drafts CRM field updates for you to review.
  • Otter: strong live transcription. CRM sync is capped at 5 users below Enterprise.
  • Granola: built for reps who type notes during calls, with no bot. The CRM receives notes rather than field updates.
  • Addys.ai: for reps whose problem is follow-up. It records on the rep’s Mac without a bot, then drafts the email, prepares the CRM update and creates the tasks, holding anything a customer will see for one approval.

A disclosure: we make Addys. We compared every tool, including ours, on the same five points below, using each vendor’s published pricing, documentation and plan limits as of October 19, 2026. We did not benchmark transcription accuracy. There is also a section on when Addys is the wrong choice.

What we compared

Most roundups score transcription accuracy and summary quality. For a sales team, what happens to the deal afterwards matters more, so we compared five things.

  1. What reaches the CRM. Some tools attach a summary to the record. Others write specific fields, such as deal stage or next step. Of those, some write with no rep input and others hold the update for a quick review.
  2. Whether a bot joins the call. A recorder in the participant list is visible to your prospect, and some buyers ask for it to be removed. A bot-free recorder captures audio from the rep’s own device instead.
  3. What happens to the follow-up email. Does the tool draft it, in which inbox, and does anyone have to copy and paste it?
  4. Who it is built for. Some tools serve the manager (coaching, scorecards, forecasting). Others serve the rep who has to do the work.
  5. Price at list. We used public pricing pages, in US dollars, on October 19, 2026. Annual-billing prices are shown first because most teams pay that way.

Comparison table

The biggest difference between these six tools is the CRM column: Gong, Fathom Business, Fireflies Business and Addys can write CRM fields, while Otter and Granola attach notes to the record.

The six tools, one by one

Gong

Gong is a revenue intelligence platform. It records customer calls, then layers coaching, deal reviews and forecasting on top. Its AI Data Extractor fills CRM fields with no rep input, and AI Composer drafts follow-up emails.

Fathom

Fathom’s free plan includes unlimited recordings, transcripts and summaries. AI action items and follow-up email drafts need a paid plan. You can choose bot capture or bot-free capture, though bot-free is a Mac beta. Summaries and action items sync to HubSpot and Salesforce. The Business plan adds “CRM field sync”, which maps meeting insights into specific CRM fields, plus a Deal View and coaching scorecards.

  • Best at: getting a whole team recording for free, then upgrading the people who need CRM field sync.
  • Limits for sales teams: field-level CRM writing is gated to Business. On lower tiers, CRM sync is capped at three users per company domain. Team and Business plans have a 2-user minimum.
  • Price: Team $15/user/month annual ($19 monthly); Business $25 ($34).

Fireflies

Fireflies is cheap per seat and records across Zoom, Meet, Teams and a long list of other platforms. By default its Fred bot joins the call. The desktop app for Mac and Windows records from system audio without a bot, and so does the Chrome extension. The HubSpot integration logs notes, transcripts and action items on contacts, companies and deals, creates missing contacts, and turns action items into HubSpot tasks. On Business and Enterprise, Autofill CRM goes further. It pulls values such as deal stage, amount, next steps and close date from the transcript and drafts the HubSpot update, which you review before it is sent. Business also adds conversation intelligence and team analytics.

  • Best at: rolling a recorder out across a large team on a small budget.
  • Limits for sales teams: in bot-free mode, speakers show as “Speaker 1” and “Speaker 2” rather than by name, and Sales Assist needs the bot. Autofill CRM uses one AI credit per meeting. Business includes a one-time pool of 30 credits shared by the whole team, so a team using it on every call will soon need to buy more. Add-on packs start at 50 credits a month for $4 on annual billing ($5 monthly).
  • Price: Pro $10/seat/month annual ($18 monthly); Business $19 ($29).

We compare the two approaches in more detail in Fireflies alternative: Addys for meeting follow-up.

Otter

Otter is strong on live transcription, with desktop apps for Mac and Windows and mobile apps for iOS and Android. Its notetaker joins Zoom, Microsoft Teams and Google Meet to take notes. The free plan gives 300 transcription minutes a month, capped at 30 minutes per conversation.

  • Best at: transcripts and live notes, especially for teams already on Otter.
  • Limits for sales teams: CRM sync is capped by seats. It covers 1 user on Pro, 5 on Business, and is unlimited only on Enterprise. The Sales Notetaker and custom CRM integrations are Enterprise features too. A team of more than five reps that wants its notes in the CRM is buying Enterprise.
  • Price: Pro $8.33/user/month annual ($16.99 monthly); Business $19.99 ($30).

If transcripts are not the bottleneck, see Otter alternative for meeting follow-up.

Granola

Granola is built around note-taking: you type rough notes during the call, and the AI fills them out from the transcript. It captures device audio with no bot and has apps for Mac, Windows, iOS and Android. On the Business plan, the HubSpot integration attaches a note or meeting to an existing contact, company or deal. Granola’s own guide says the native integration maps to standard note and activity fields, and points to Zapier for custom properties.

  • Best at: polished notes, steered by what the rep typed, with no bot in the room.
  • Limits for sales teams: the CRM receives notes, not field updates. Salesforce is an Enterprise integration. The free plan only shows the last 30 days of notes.
  • Price: Business $14/user/month; Enterprise $35.

For more on the trade-offs, see Granola alternative: how to pick the right one.

Addys.ai

Addys is a meeting follow-up agent rather than a note taker. It records from the rep’s Mac, so no bot appears in the call. When the meeting ends it does the follow-up:

  • drafts the recap email in Gmail or Outlook
  • prepares the deal update in HubSpot or Salesforce: deal stage, next step and call notes
  • creates tasks in Linear, Jira, Asana or Notion

Anything that reaches another person waits for one approval. Internal work can be set to run automatically once you trust it. The Addys for sales teams page walks through a typical deal.

  • Best at: closing the gap between “we agreed on next steps” and the CRM showing them, for reps who do their own admin.
  • Limits for sales teams: recording runs in the Mac app. There is also a web app, but no Windows app. On phones, Addys runs tasks but does not record meetings. There is no coaching, scorecarding or call library for managers. Team seats and shared context are Enterprise-only.
  • Price: Free keeps meeting capture and summaries. Paid plans are priced by monthly task volume, not per seat: Spark $15/month annual ($19 monthly), Momentum $79 ($99), Operator $159 ($199). A 7-day Spark trial starts without a card. See Addys pricing.

How to choose for your team

Pick by the problem you are trying to fix.

If your team… Start with Why
Has RevOps and needs forecasting and coaching Gong Call library, scorecards and automatic CRM field filling at org scale
Has 5 to 20 reps on HubSpot and a tight budget Fathom or Fireflies Low per-seat prices; move up to Fathom Business or Fireflies Business if you need CRM fields written
Mainly needs searchable transcripts Otter or Fireflies Strong transcription and mobile apps
Sells to buyers who dislike bots in the call Granola or Addys Both are built to record from the rep’s device. Fireflies’ desktop app also records without a bot; Fathom’s bot-free mode is a Mac beta
Wants polished notes and is happy to update the CRM by hand Granola Your typed notes steer the summary
Is a founder or a few AEs who do their own CRM admin Addys The follow-up email, CRM update and tasks are prepared for you, held for one approval

The cheapest test is to run two tools on the same week of real calls. Then count how many CRM records were current at the end of the week and how many follow-ups went out the same day.

When Addys is not the right choice

Addys is built for the person who does the follow-up. If that is not your problem, another tool on this list will serve you better.

  • You manage reps and need to review their calls. Addys has no shared call library, scorecards or coaching metrics. Gong, or Fathom Business, is built for that.
  • Your reps work on Windows desktops. Addys records in its Mac app. Granola, Fireflies and Otter have Windows apps.
  • You record in-person meetings on your phone. On phones, Addys runs tasks but does not record. Otter, Granola and Fireflies all record from native mobile apps.
  • You want per-seat rollout with admin controls, without an enterprise contract. Addys team seats, SSO and admin controls are Enterprise-only. Fathom and Fireflies sell team plans with self-serve seats.
  • You want the notes, not the actions. If your CRM hygiene is fine and you just want a great record of the conversation, Granola is the better tool.

Frequently asked questions

What is the best AI meeting assistant for sales teams?

It depends on who the tool is for. Gong is built for sales leaders who need coaching and forecasting. Fathom, Fireflies and Otter are the low-cost options for putting a recorder on every rep, and Granola suits reps who write their own notes. Addys.ai is the choice when the problem is follow-up: it drafts the email and prepares the CRM update after each call.

Which AI meeting assistants update CRM fields automatically?

Gong’s AI Data Extractor fills CRM fields with no rep input. Fathom’s Business plan includes CRM field sync. Fireflies Business drafts field updates with Autofill CRM for you to review. Addys.ai prepares the deal-stage change, next step and call notes in HubSpot or Salesforce as part of each follow-up task and holds them for review. Otter and Granola sync notes to the record.

Is there an AI notetaker that doesn’t join the call as a bot?

Yes. Addys.ai and Granola both record from the rep’s device. The Fireflies desktop app for Mac and Windows records system audio without its bot, and so does its Chrome extension. Fathom offers bot-free capture as a beta on Mac. Gong can use native Zoom recording, but not when someone outside your company hosts.

Can an AI meeting assistant send follow-up emails for me?

Most will draft one. Gong drafts with AI Composer, Fathom drafts them on paid plans, and Granola drafts them on its Business plan. Addys.ai drafts the email in Gmail or Outlook alongside the CRM update. It sends nothing to a customer until you approve it with one click.

How much does an AI meeting assistant cost for a five-rep sales team?

At annual list prices in October 2026, five seats cost about $50 a month on Fireflies Pro and $70 on Granola Business. Fathom Team is $75 and Otter Business about $100. Fathom Business, which adds CRM field sync, is $125. Fireflies Business, which adds Autofill CRM, is $95, plus AI credits once the included 30 run out. Gong is priced by quote. Addys.ai is priced per account by task volume, starting at $15 a month, with team seats on Enterprise.

No. Bot-free only changes what appears in the participant list. Recording-consent rules depend on where you and your prospect are, so tell people you are recording either way.
